The Moneyssimo mental model

The application does more than keep a ledger. It links six kinds of information so that today’s balance, reserved money, recurring activity, and longer-term plans remain consistent.

Accounts

Cash, bank, credit, savings, and investment containers, each with its own currency and history.

Transactions

Income and expenses dated to an account, with category, payee or product, status, tags, and reconciliation state.

Transfers

One linked movement between two accounts, including fees and an exchange rate when currencies differ.

Envelopes

Named provisions that reserve portions of account balances for a purpose or future expense.

Schedules

Templates that generate future transactions or transfers by frequency, end date, or number of repetitions.

Budgets

Category-based targets compared with actual spending over monthly and yearly periods.

Key distinction: an account says where money is; an envelope says what part of that money is intended for. Moving money between envelopes does not move it between bank accounts.

Foundation

Accounts and currencies

Create an account for each real place whose balance you want to follow. Moneyssimo’s account model records its type, currency, starting balance, current balance, minimum balance, opening and closing dates, and whether it is active. Account history and monthly forecasts make changes visible over time.

Choosing account structure

  • Use separate accounts when balances are independently held or reconciled.
  • Set the account currency to the currency in which the institution reports it.
  • Use the minimum balance as a practical floor to surface constrained cash.
  • Close or deactivate old accounts instead of deleting useful financial history.

How currency conversion works

Transactions retain their original currency while Moneyssimo also calculates converted amounts for summaries. Exchange rates are stored by currency and date, with current and historical rate support. Cross-currency transfers record the actual rate used, so the two account legs remain connected even when the amounts differ.

For reliable reporting, update exchange rates before reviewing consolidated balances. A historical report is only as accurate as the applicable dated rates.

Transactions, transfers, and reconciliation

Recording income and expenses

A transaction combines a date, amount, currency, account, entry type, category, product or payee, status, comment, and optional tags. It may also be assigned to an envelope. This structure lets the same entry update the account ledger, category reports, envelope balance, search results, and forecasts.

  1. Select the account and transaction date.
  2. Choose income or expense and enter the amount in its transaction currency.
  3. Assign a category for budgeting and a payee or product for reporting.
  4. Optionally select an envelope and add tags for cross-category searches.
  5. Save the item, then reconcile it when it appears on the bank statement.

Transfers are paired movements

A transfer links a debit on the source account to a credit on the destination account. Moneyssimo keeps the two payment identifiers together and supports fees on either side, separate currencies, a category, tags, and envelope assignments for both accounts. Edit the transfer rather than changing only one ledger leg.

Bank tracking

Reconciliation marks a transaction as checked against an external statement and stores a reconciliation date. The bank-tracking views and reconciliation history help identify entries that are missing, duplicated, or still pending.

The envelope method, schedules, and forecasts

Scheduled activity

Planned transactions and planned transfers are reusable instructions for recurring financial activity. A schedule stores its next execution date, frequency, active state, and either an ending date or a remaining number of iterations. Batch processing turns due plans into real ledger entries and advances the schedule.

Use schedules for salary, rent, subscriptions, loan payments, savings transfers, and any other predictable movement. Current-month and current-year forecast pages combine these future entries into a practical cash-flow view.

A proven method for intentional money management

Moneyssimo’s provisioning feature is based on the well-known envelope budgeting method. Traditionally, people divided cash among physical envelopes marked for groceries, rent, holidays, repairs, and other purposes. When an envelope was empty, spending in that area stopped until it was funded again. The method remains powerful because it turns one abstract balance into a set of clear, practical commitments.

Moneyssimo adapts that idea for modern finances. Your money remains in its real bank, cash, savings, or investment account, while digital envelopes show how much of it has already been given a purpose. This helps prevent the common mistake of seeing an account balance and assuming that all of it is free to spend.

How provisions work in Moneyssimo

An envelope—called a provision in the application model—has a name, currency, balance, minimum target, type, and optional comment. Its funds can be distributed across multiple accounts. Transactions and transfers assigned to an envelope adjust both its overall balance and its balance by account.

  • Create envelopes for irregular bills, annual costs, emergency funds, holidays, or other planned purposes.
  • Fund them from the accounts that actually hold the money.
  • Assign relevant expenses so the reserved balance decreases automatically.
  • Use envelope details to check distribution by account and merge envelopes when plans change.

Why this matters

Envelope provisioning makes irregular and easily forgotten costs visible before they become urgent. Setting aside a little each month for insurance, taxes, maintenance, gifts, or annual subscriptions smooths those expenses over time. Envelopes can also protect savings goals from everyday spending and make financial trade-offs easier to understand.

Remember: an envelope balance is a designation within your existing accounts, not an extra amount of cash. Account balances show where the money is; envelopes show what the money is for.

Categories, budgets, search, and reports

Categories and budgets

Categories organize transactions into a hierarchy. Budget settings may be attached at a category or inherited from a parent category, and include a budget type and currency. Monthly and yearly comparators measure actual activity against those targets, while budget follow-up views expose remaining or exceeded amounts.

Finding and understanding activity

Search and filter tools can narrow records by account, account type, category, currency, date, envelope, referential, status, and time period. Tags add another flexible dimension without changing the category tree.

Reporting surfaces include account dashboards, balance evolution, cash flow, envelope evolution, expenses by category, expense summaries, expenses by payee or referential, exchange-rate reports, and fiscal-year views. Some administrative reports depend on the user’s role.

Investment and loan tools

The codebase also includes portfolio entries, portfolio lines, stock entries and dated stock values for tracking investments. Loan tools calculate amortization schedules and compare financing scenarios; they complement the core ledger rather than replacing account transactions.

Putting it together

A reliable Moneyssimo routine

  1. Set the foundation. Create currencies, accounts, category structure, and frequently used payees or products.
  2. Capture activity. Record transactions and account-to-account transfers with consistent categories and dates.
  3. Reconcile regularly. Compare Moneyssimo with bank statements and mark verified entries.
  4. Reserve intentionally. Allocate account funds to envelopes and attach spending to the correct envelope.
  5. Automate the predictable. Create schedules, process due items, and inspect monthly and yearly forecasts.
  6. Review the plan. Compare category budgets with actuals and use reports to investigate meaningful variances.

Data quality rule: accurate accounts come first. Categories, envelopes, budgets, forecasts, and reports all derive their usefulness from complete transactions and correctly paired transfers.
